Course Reserves: Digitization Requests

This is a comprehensive guide aimed at Drexel University Faculty to help you through any and all processes related to our course reserves system.

Digitization Requests

What is a digitization request? A digitization request is a request for physical material to be uploaded electronically in some shape or form to your course online. Popular examples of digitization requests include scanned book chapters, and streamed films.

PLEASE NOTE: IT IS AGAINST OUR FAIR USE POLICY TO ADD ITEMS RECEIVED THROUGH INTERLIBRARY LOAN TO COURSE RESERVES, AS THEY ARE NOT OWNED OR LICENSED BY DREXEL LIBRARIES.

Digitization

In this guide, we will cover how to add digitization requests to your Drexel Library Course Reserves. Digitization requests are requests to add scanned chapters of a physical book to your course online. 

Please note that before you can create a list, you must create a link between your Blackboard course shell and Drexel Library course reserves. That process is outlined in a previous guide.

A few important reminders: 

  • If you submit requests for more than one chapter to be scanned and uploaded, the reserves team may be required to contact the publisher for permission to do so. This can result in longer processing times. If you have questions or concerns about this, please contact the reserves team at reserve@drexel.edu.  

  • The library cannot scan and upload entire books to course reserves. For more information, please review our Fair Use Policy

  • The library cannot scan and upload anything retrieved via InterLibraryLoan (ILL) or EZBorrow. If you have questions about this, please review our Fair Use Policy, or contact reserve@drexel.edu.  

First, log into Blackboard Learn, and select the course in which you would like to add the streamed video. In the image below, you can see in the lefthand panel that a tool link for course reserves has already been created. 

Click on the course reserves link: 

Next, you will be taken to your reading list, where you can add the request. For this example, we will add a request to have a chapter of the book City Politics: the Political Economy of Urban America by Dennis R. Judd and Annika M. Hinze (10th edition) scanned and uploaded to our course. 

First, click on the “add” button with the plus sign, located near the lefthand side of the screen. From the dropdown list that appears, select “Add Items not in DragonSearch”. 

On the following page, a box will appear for you to enter the type of item you need digitized. Under where it says Type, select “book chapter” from the dropdown list. 

In the field underneath, enter the chapter number/title that you need scanned. For this example, we will be asking to have chapter one digitized. When you are finished, click Next. 

On the following page, give the libraries a bit more information on the request. You are required to enter the title of the full book. 

Before clicking Next, please scroll down and fill out the other required fields – the ISBN number, and the Start and End pages of the chapter you are requesting to be scanned. (If you do not know this information, please put “unknown” in the required fields). 

Once you have filled out those fields, click where it says “more item details” at the bottom of the box, as there are additional required fields to be filled out. 

Upon scrolling down, you will see that it is also required to enter the publication date, as well as the total number of pages in the book. Again, if you are unsure of this information, please enter “unknown”. When you are finished, click Next. 

On the following page, you can select which week or section you would like to add the item to in your course, and then you will be prompted to select a tag for the item. For this example, we will select “Scan Article/Chapter”. Next, click Add. 

The item has now been added to your course. The tag “ScanArticle/Chapter” will direct library staff on what to do with the item next. When the tag disappears, the item has been processed and is ready. 

You can continue adding items if you wish. Once you are finished adding items, click the button at the top that says “My list is ready”. 

Your list is now published and can be viewed by your students. You can check the status of your list at the top, next to where it says “course readings” to confirm that it has been published. 

You are now all set with your course reserves! Any requests that require library processing will not be visible until they have been completed.  Remember, if you need any further assistance, please contact the reserves team at reserve@drexel.edu.
